Low Stock Alerts
StockFlow monitors your inventory continuously and alerts you when any product’s available quantity falls below its reorder point — giving you time to reorder before you run out.
How alerts work
When Available quantity (On Hand minus Reserved) drops to or below the Reorder Point for a product/warehouse combination, StockFlow:
- Highlights that row orange in the Inventory table
- Shows a badge on the Inventory sidebar icon
- Sends notifications to the configured recipients (email, in-app, or Slack)
- Adds the item to the Reorder List at Inventory → Reorder
If the quantity drops to zero, the row turns red and the status changes to Out of Stock.
Setting a reorder point
On a single product
- Go to Goods List and open the product
- Click the Stock Settings tab
- Set:
- Reorder Point — alert triggers at or below this quantity
- Reorder Quantity — how many units to order when restocking (informational only)
- Lead Time (days) — how long your supplier takes to deliver (informational only)
- Click Save
The reorder point applies to each warehouse independently. If you have multiple warehouses, you can set a different threshold for each.
Setting warehouse-specific thresholds
- Go to Inventory
- Click the product/warehouse row
- In the right panel, click Edit Thresholds
- Set the reorder point for that specific warehouse
- Click Save
Bulk-setting reorder points
For large catalogues, set reorder points via CSV:
- Go to Goods List → Export — download a CSV with all products
- Add a
reorder_pointcolumn and fill in values - Import back via Goods List → Import with “Update existing products” checked
Configuring alert notifications
- Go to Settings → Notifications
- Under Inventory alerts, configure:
| Setting | Options |
|---|---|
| Recipients | Specific users, all users with inventory access, or a custom email list |
| Channels | In-app, Email, Slack (requires Slack integration) |
| Frequency | Real-time, Daily digest, or Weekly digest |
| Threshold type | Alert at reorder point / Alert only at zero / Both |
Daily digest
If you select Daily digest, one summary email is sent at 07:00 in your account timezone, listing all products currently below their reorder point.
Slack alerts
Connect Slack via Settings → Integrations → Slack. You can route inventory alerts to a specific channel (e.g. #stock-alerts).
The Reorder List
Go to Inventory → Reorder to see all items currently below their reorder point, along with:
- Current available quantity
- Reorder point
- Suggested reorder quantity
- Last supplier name and unit cost
- A quick-action Create PO button
Click Create PO for all to generate a single draft purchase order covering every item on the reorder list, pre-filled with the last known supplier and suggested quantities. You can edit before sending.
Suppressing alerts temporarily
If you are deliberately running low stock (e.g. clearing seasonal items), you can snooze alerts:
- Go to Inventory, find the product/warehouse row
- Click Snooze Alert
- Set a snooze duration: 7 days, 30 days, or custom date
- Click Confirm
The row will remain visible in the inventory table but won’t appear in the Reorder List or trigger notifications until the snooze expires.
