Quick Start

This guide walks you through the most common workflow in StockFlow: adding a product to your goods list, creating an inventory record for it, and recording a sale against a client.

Estimated time: 5 minutes

Before you begin

Make sure you have:

  • Created a StockFlow account (Installation guide)
  • At least one warehouse set up (created during onboarding)

1. Add a product to your Goods List

  1. In the left sidebar, click Goods List

  2. Click + Add Product in the top-right corner

  3. Fill in the required fields:

    FieldExample value
    Product nameWireless Bluetooth Headphones
SKUWBH-001 (or leave blank to auto-generate)
    CategoryElectronics
    UnitPiece
    Retail price$89.99
    Cost price$42.00
  4. Optionally add a description, images, and tags

  5. Click Save Product

Your product now appears in the Goods List. Next, you’ll add stock to it.

2. Add stock to your Inventory

  1. Click Inventory in the left sidebar

  2. Click + Add Stock

  3. In the product search field, type WBH-001 or Wireless Bluetooth and select your product

  4. Set the following:

    FieldValue
WarehouseMain Store (or whichever you created)
    Quantity50
    ReasonInitial stock
  5. Click Confirm

You now have 50 units in stock. The inventory dashboard updates immediately and the product card shows 50 units — Main Store.

3. Add a client

  1. Click Clients in the left sidebar

  2. Click + Add Client

  3. Fill in:

    FieldExample value
    Full nameSarah Chen
    Email[email protected]
    Phone+1 555 0182
    TypeRetail
  4. Click Save Client

4. Record a sale

  1. Click Sales in the left sidebar
  2. Click + New Sale
  3. Select your client: Sarah Chen
  4. Click + Add Line Item, search for WBH-001, and set quantity to 2
  5. Confirm the unit price is $89.99 and the line total shows $179.98
  6. Click Complete Sale

StockFlow automatically:

  • Deducts 2 units from the Main Store inventory (now 48)
  • Creates a purchase record on Sarah Chen’s profile
  • Generates an invoice (downloadable as PDF)
  • Posts the transaction to your connected accounting tool (if configured)

5. Check your dashboard

Go back to the Dashboard. You should now see:

  • Total products: 1
  • Total stock value: updated
  • Recent sales: Sarah Chen — $179.98
  • Low stock warnings: none (you have 48 units, well above any threshold)
