Account & Billing

Can I try StockFlow for free?

Yes. All plans come with a 14-day free trial — no credit card required. At the end of the trial you can choose a paid plan or your account will be automatically downgraded to read-only mode (your data is preserved).

What payment methods are accepted?

Visa, Mastercard, American Express, and ACH bank transfer (US only). Enterprise customers can also pay by wire transfer with net-30 terms.

Can I change plans mid-cycle?

Yes. Upgrades take effect immediately and are prorated. Downgrades take effect at the end of your current billing cycle.

What happens to my data if I cancel?

Your data is retained for 60 days after cancellation. You can export everything (CSV, JSON) at any time during that period. After 60 days, data is permanently deleted.

Is there a discount for non-profits or education?

Yes — 40% off all plans for verified non-profits and educational institutions. Contact [email protected] with proof of status.


Products & Inventory

How many products can I add?

The limit depends on your plan: 500 on Starter, 10,000 on Growth, and unlimited on Enterprise. See System Requirements for the full limits table.

Can one product be stored in multiple warehouses?

Yes. A single SKU can have separate stock quantities in each of your warehouses. The total across all warehouses is shown on the product card.

Can I track expiry dates or batch/lot numbers?

Yes — enable Batch Tracking in Settings → Inventory. Once enabled, each stock adjustment can optionally include a batch number and expiry date. Reports can then filter by expiry window.

What units of measure does StockFlow support?

StockFlow includes 40 built-in units (pcs, kg, g, litre, ml, box, pallet, m, cm, ft, etc.). You can also create custom units in Settings → Units.

Can I set negative stock?

By default, StockFlow prevents stock from going below zero. You can allow negative stock per warehouse in Settings → Inventory → Allow negative quantities. This is useful if you record sales before stock arrives.


Goods List

What’s the difference between a product and a variant?

A product is the top-level item (e.g. “Running Shoe”). Variants are variations of that product (e.g. Size 9 Red, Size 10 Blue). Each variant has its own SKU, barcode, and stock level. The product groups them together in the catalogue.

Can I import products from Shopify or WooCommerce?

Yes. Connect your store via Settings → Integrations and use Import from Shopify or Import from WooCommerce. This pulls in all products, variants, and images. Ongoing sync keeps both systems in real time.

How do I handle products sold by weight?

Set the unit to kg (or g, lb, etc.). When adding stock or recording a sale, you can enter decimal quantities such as 2.750 for 2.75 kg.


Clients

Is there a limit on the number of clients?

No. All plans support unlimited clients.

Can clients log in and see their own data?

Yes — enable the Client Portal in Settings → Client Portal. Clients receive an invitation email and can log in to view their order history, outstanding invoices, and download PDFs.

Can I import clients from a CSV or CRM?

Yes. Go to Clients → Import and upload a CSV. The required fields are name and either email or phone. See Add a Client for the full field reference.

Does StockFlow store credit card details?

No. Payment processing is handled by Stripe. StockFlow only stores a tokenised reference, never raw card numbers.


Integrations & API

Where can I find the API documentation?

The full REST API reference is at docs.stockflow.io/api. You can generate API keys in Settings → Integrations → API Keys.

Does StockFlow support webhooks?

Yes. You can configure webhooks for events including stock.updated, sale.created, client.created, and 30 others. Set them up in Settings → Integrations → Webhooks.

Can I use StockFlow with Zapier?

Yes. StockFlow has a native Zapier app with 20+ triggers and actions. Search for “StockFlow” in the Zapier app directory.


Data & Security

Is my data encrypted?

Yes. All data is encrypted at rest (AES-256) and in transit (TLS 1.2+). Backups are also encrypted.

How often is my data backed up?

Automatically every 6 hours. Enterprise customers can request point-in-time restore going back up to 30 days.

Is StockFlow GDPR compliant?

Yes. StockFlow is GDPR compliant and acts as a data processor. A Data Processing Agreement (DPA) is available on request from [email protected].

Can I export all my data?

Yes. Go to Settings → Backup & Restore → Export All Data to download a full JSON export of every record in your account.
